POSITION: NATIONAL PROGRAM OPERATIONS ASSISTANT

Location: New York City

Description: 40 hours weekly; Full-Time

Start Date: October 2019

Position Overview

The National Program Operations Assistant will be responsible for operational and administrative support in three main areas: Service Corps, Justice Fellowship, and internal general and financial operations. The National Program Operations Assistant is an integral member of the Avodah office and will serve as part of a dynamic national team.

 

Responsibilities Include:

Service Corps (estimated as 75% of the job):

  • Ensure service corps learning programs run smoothly by managing all logistics, including booking spaces, ordering food, liaising with speakers and trainers, processing payments, and either directly helping with setup/execution support or coordinating setup/execution support as needed.
  • Assist with the management of Avodah’s residential properties:
    • In NYC:resolve maintenance problems with residents and landlords, purchase supplies, coordinate deliveries, coordinate the cleaning and preparation of houses between cohorts, manage the house search if needed, aid with the move-in and move-out process.
    • In Avodah’s other Service Corps sites, handle communication with the local supers who cover this work for those sites.
  • Communicate regularly with participants, partners, trainers, other staff and stakeholders about all administrative needs, including accounts payable and receivables and associated paperwork needed (i.e., W-9s for all payees, receipts for Community Fund and other program costs, signed contracts from placements and participants).
  • Conduct any research necessary to meet access needs (i.e., ASL interpreters).
  • Process payments, invoices, receipts and expenses for all the program areas.
  • Closely track and maintain all program budgets in collaboration with associated budget managers.

 

Fellowship (estimated as 5% of the job):

  • Communicate regularly with participants, partners, trainers, other staff and stakeholders about all administrative needs
  • Process payments, invoices, receipts and expenses for all the program areas.
  • Occasional assistance with space bookings, cost research and other administrative tasks as needed.

 

National operational support (estimated as 15-20% of the job):

  • Assist with monthly and annual financial schedules (i.e. depreciation, prepaid) and reconciliations.
  • Manage collection of monthly credit card expenses coding and receipts.
  • Track staff birthdays and anniversaries to coordinate celebrations and appreciations.
  • Monthly reconciliation of several accounts (petty cash box, the bayit maintenance fund, and the community care night fund).
  • Provide additional operations support as needed.

 

Required Skills and Experience

  • At least two years of relevant work experience (internships included)
  • Nonprofit experience preferred
  • Strong project management skills
  • Excellent organizational skills and attention to detail
  • Ability to create and maintain effective systems
  • Strong communication skills (written and verbal)
  • Proficiency with Google Suite
  • Proficiency in spreadsheet application (Google Sheets, Microsoft Excel)Ability to work on a team as well as independently
  • Ability to prioritize a broad range of work and competing demands
  • Ability to work occasional evenings
